The report template
Use seven sections: executive summary, measurement scope, visibility snapshot, competitor movement, source and citation analysis, work completed, and next priorities. Keep a technical appendix for full prompt-level evidence.
- Executive summary
- Prompts, engines, locations, and dates
- Mentions, citations, framing, and change
- Competitor gains and losses
- Sources shaping the answers
- Work completed and evidence
- Next 30-day priorities
1. Write the executive summary first
In five sentences or fewer, explain the most meaningful movement, why it matters, the work completed, the main risk, and the next decision. Do not force the client to interpret a score.
2. State the measurement scope
List answer engines, markets, languages, tracked prompts, check frequency, competitor set, and date range. Explain that AI responses can vary and that trends depend on a stable methodology.
3. Use metrics with precise definitions
| Metric | What it means | What it does not prove |
|---|---|---|
| Mention rate | Share of tracked answers naming the brand | That the brand was recommended positively |
| Citation rate | Share of answers citing the client domain | That the citation drove a visit |
| Recommendation position | Where the brand appeared in a coded answer | A universal ranking across all users |
| Source share | Which domains repeatedly supported answers | Direct causal influence in every response |
4. Keep evidence one click away
Every chart should connect to the prompt, full answer, date, engine, and cited sources. This protects trust when a client asks why a number moved.
5. Show the work
List pages improved, profiles corrected, sources earned, schema repaired, content published, and authority work completed. Add owner and completion date. Then describe the observed result carefully: “visibility improved after” is not automatically “visibility improved because of.”
6. End with decisions
Choose three to five priorities. Each should include evidence, expected benefit, effort, owner, and the next review date. That transforms reporting from a history lesson into an operating tool.
Copy this monthly summary
This month, the brand appeared more consistently for [prompt theme], while [competitor] remained stronger for [buyer need]. New citations came from [source types]. The team completed [work]. Next month we will focus on [priority] because [evidence].
VisibleGen’s Reports & Daily Operations workspace is built to keep the original evidence, completed work, owner, and client explanation together.
